Williamson County Schools Three-Tiered Volunteer Process

Williamson County Schools have created a three-tiered guideline to protect children and to continue to maintain the high levels of volunteerism that we enjoy in our district. Please follow these procedures in order to volunteer at Lipscomb Elementary.

Please read the explanation of each Tier of Volunteerism below...

Tier I - If you are coming to eat lunch, attend a book fair, field day or school fair with your child at Scales, you are a Tier I volunteer that is required to sign in at the front office.  At this level of clearance, WCS employee supervision is required.

Tier II -  If you are helping with some of the many events at Lipscomb such as Breakfast with Your Bear, Run Team, Fall Fest, Field Day and MORE than a Tier II level clearance is required. At this level of clearance, WCS employee supervision is required along with the completion of a volunteer application and a confidentiality agreement acknowledging FERPA requirements. These documents must be turned in to the front office.  Click here for the Williamson County Volunteer Application and Confidentiality Agreement.

How To Become a Tier II Volunteer

  1. Print and complete the Confidentiality Agreement.

  2. Bring your completed application and driver's license to Lipscomb's front office.

  3. Sign up to volunteer for any Tier 2 activity!

Tier III - If you would like help tutor inside or outside of class or attend a class field trip as a leader or chaperone at Lipscomb, Tier III clearance is required. If you would like to serve as a room parent, Tier III clearance is strongly recommended. At this level of clearance,  the Williamson County Volunteer Application and Confidentiality Agreement (required for Tier II status above) must be completed along with a background check and fingerprinting process.  Click here for volunteer background check registration instructions.

Please note: Lipscomb PTO encourages all parents to be Tier III volunteers and to wear badges while on school property.

How To Become a Tier III Volunteer:

  1. Complete the Tier II Volunteer steps above.

  2. Schedule and complete a Volunteer Background Check (wcs.edu).

  3. Lipscomb will receive notification of your background approval 1-2 weeks after your fingerprint scan. Call Susan Hudson at the school office, 615-472-4650, 1-2 weeks after your fingerprint scan to confirm you've been approved.

  4. Sign up to volunteer for any Tier III activity, including class field trips! *

  5. Read our PTO newsletter for upcoming dates to pick up your Tier 3 Volunteer Badge. We'll create your badge on site, and you can take it home that day. The process takes 2 minutes!

* Once Susan Hudson confirms receipt of your background approval, you can immediately partake in Tier 3 Volunteer Opportunities.

Tier III Badges - All Lipscomb Tier III volunteers are encouraged to obtain a Tier III security badge and  wear it when you are present at Scales.  Wearing this badge will help identify you as a Tier III volunteer to teachers, staff members, other parents and our resource officer. Once you have completed your paperwork and finger printing process, you can obtain a badge at Scales at various times throughout the school year.  These dates and times will be listed on the website and other school- wide notifications.

Tier 3 Volunteer Expiration:

  • Tier III status expires after 5 years.
  • Upon expiration, volunteers must process a new background check within one year.
  • To confirm your current volunteer expiration date, call Susan Hudson at 615-472-4650.

Check out our 2024/2025 volunteer opportunities in the weekly PTO newsletter and website to see which events and opportunites at Lipscomb require  a Tier I, II, or III clearance.
